JOB SUMMARY: Under the direction Senior Property Manager, the Leasing Associate and/or Leasing Associate Lead or Manager is responsible for all leasing activities and resident services activities that contributes to occupancy and resident retention. The Leasing Associate is responsible for providing best-in-class customer service in all responsibilities and in providing assistance with client requests in a manner that maximizes client satisfaction, occupancy and resident retention. The client is defined as “all stakeholders” and includes the prospective resident, resident, associates, vendors, and investors. Excellent, solutions-driven customer service to all stakeholders, residents, guests, colleagues, vendors and ownership 2. Open and close the office according to the protocol and/or checklist. 3. Greet guests and residents in a welcoming and professional matter, with follow-up systems in place, prepared in advance with collateral, move-in packets and a professional office environment 4. Develop an intimate understanding of the product, amenities, services, and market niche of each asset within the portfolio 5. Excel at employing and building relationships through a Lead Management and Waitlist system. Manage office lead system, report on traffic, sources, closing ratios, etc. 6. Lease apartments throughout the portfolio consistent with Fair Housing and Equal Housing; within the established rent and concessions structures, and within the requirements and guidelines of rent control and affordable housing programs as they apply to the specific community. 7. Achieve weekly and monthly leasing targets, expressed by number of tours, number of applications, specific outreach, lead response times, 8. Provide and maintain an effective follow-up system, resulting in follow-up with prospective Aria Residential, LLC, Job Descriptions Leasing Associate and Lead, Kansas City, MO 2 residents within the same business day, unless otherwise requested. 9. Conduct tours in a professional manner including having pre-walked the tour path ensuring the positive presentation of all aspects of the community along the tour path 10. Note in the tour log required information on a daily basis. 11. Note in a physical guest card for each tour the apartments toured, and any anomalies to the prescribed tour path or objections provided by the prospective resident for taking the prescribed tour path. Note conversation that may otherwise be of interest or concern in the future. 12. Ensure all logs and guest cards are presentable and stored in a manner to enable presenting upon request. 13. Make recommendations to optimize portfolio performance through pursuing relationships within the community with local employers, businesses and organizations. 14. Contribute to and oversee posting to social media, Craigslist, blogs and other on-site venues in a manner that is best-in-class and on brand. 15. Contribute to and oversee community outreach, partnering, and relationship-building 16. Track leads, tours, objections, applications generated by marketing activities for maintaining required occupancy and report when we are not meeting targets. Provide an assessment of why and provide recommendations on how to achieve targets. Implement. Seek approval for implementation where approval is necessary. 17. Employ an aggressive leasing schedule toward achieving stabilization in Lease-ups. Timely attendance is an essential function of the job. 18. Timely reporting for meetings and deliverables is an essential function of the job. Some meetings may be at the local team level or extended team level. Presence at company-wide meetings for which you have received an invite is a requirement unless excused by your supervisor. 19. Deliverables are expected in a final format, with the required preparation completed. Some deliverables may be required a day or as assigned, prior to a meeting. This is therefore required where so stipulated as an essential function of the job. Provision of these documents in a timely manner allows others to review the information prior to discussion and allows for the meeting to be as productive as possible. Deliverables are not optional, unless excused in writing as otherwise arranged, from your supervisor. 20. Perform competitive studies to report rents, vacancies, concessions, advertising, promotion and product strategies in the submarket and industry to recommend creative and competitive strategies in the areas of rents, promotion, placement and product/service offering. Make recommendations for rent changes to your supervisor. Do not however, offer any rents or concessions other than as provided on the Concession Report or Availability Report unless in writing from your supervisor. 21. Develop strategies and execute according to the approved path for the purpose of developing partnerships and community relations. 22. Assist residents in resolving concerns, and ensuring their solutions are always advanced in the interaction, with an understood value-add. Report on any issues that appear they may escalate. 23. Assist colleagues as requested in providing needed client services. 24. Assist Aria Development Group’s acquisition development and Property and Asset Management team to assess new opportunities through market and competitive product research. 25. Accept and enter resident service requests. Ensure excellent customer service with same Aria Residential, LLC, Job Descriptions Leasing Associate and Lead, Kansas City, MO 3 day or maximum 24-hour follow up, answering phone by 3rd ring and courteous and professional attitude toward all customers. 26. Ensure all services are provided in a consistent, reliable warm and welcoming manner, delivering service that offers specific responses, value-add service, and predictable follow-up addressing when follow-up will occur. 27. Ensure excellence in the appearance in the exterior entrance ways, lobby, tour path, common areas, amenities and apartments. 28. Take appropriate action, inquiring as necessary of the Property Manager or appropriate team member who can immediately assist in rectifying the issues, if assistance is needed, of conditions in the community affecting the resident's safety. Report any residential dissatisfaction to the Property Manager, and follow-up with resident the same day. 29. Accept accountability for your actions. 30. Understand this position is both a service and production job. The level of performance while is evaluated and measured in qualitative aspects, is measured in the achievement of goals, metrics such as lead generation, conversion ratios of which one is qualified tours to applications, leases, occupancy (current, 30-day and 60-day) and resident retention. 31. Maintain professional dress and conduct at all. 32. Keep files, desk, and front office area organized. One file on a desk at a time. 33. Confidentiality. All information, whether in a file, on leasing documents, on an application or in conversations with prospective residents and residents is confidential. This information may not be shared with anyone other than our staff, including other applicants or roommates of the same apartment. We are duty-bound to keep this information confidential. 34. Work in a professional manner that is best-in-class as part of a team. 35. On-site Requirements for Owner Visits and Community unless excused in writing by Supervisor. 36. Treat our stakeholders with the same best-in-class level of integrity and respect. Our stakeholders include the owners, investors, colleagues, vendors, residents and their guests, and prospective residents. 37. Perform other duties as requested by Property Manager. 38. Strive to be your best. 40. Leasing Office protocol: Professional dress, no visitors or guests of employees allowed in leasing office. The Leasing office is for professionally-driven leasing activity. 41. Vacants, Models and Furnished Apartment Protocols: No unauthorized access into apartments. This is defined as the use of vacants, models or furnished apartments for any activity other than as leased by a residents, or being serviced as a vendor as contracted. 42. Leasing commissions requirements for payment: are paid in accordance with the company-wide commission policy, requiring that lease files are completed according to the company standard, which is available to all employees and/or on request. LEAD/MANAGER DUTIES AND RESPONSIBILITIES: 1. Provide all above responsibilities as needed or requested. 2. Participate in the development of standard operating procedures as it pertains to the assigned property, ensuring compliance with Aria Residential’s policies and procedures. 3. Participate in the training of the onboarding of new employees as needed or requested. 4. Participate in marketing and ownership meetings as needed to help serve as the link between development, marketing and our customer and competition. 5. Assist team with the property with developing the resident services calendar and be present at resident events. 6. Assist in providing oversight during resident and staff events, participating in the planning and execution of each and if so planned, in conducting tours during the events. 7. Perform duties as requested by Property Manager, Regional Property Manager, and Managing Director as needed for the property. 8. Make recommendations for the development of branded leasing team. 9. Punctuality and attendance is a critical function of the position, since leasing coverage is central to our business. Unexcused absences or missing over 5 days per year without a note from a medical professional, may be basis for termination. 10. Days and hours scheduled, cannot be arbitrarily exchanged for unscheduled time. All changes to schedule must be preapproved in writing. 11. Overtime must be pre-approved in writing. Abuse of this policy may be grounds for termination.
Educational Requirements:*
MINIMUM EXPERIENCE/TRAINING/EDUCATION: 1. Bachelor degree preferred; or the equivalent in experience, enthusiasm and drive 2. Multifamily leasing experience and lease-up experience preferred; equivalent sales and customer service experience considered. 3. Strong communication skills in English in writing, composition, oral, and active listening skills 4. Multi-lingual appreciated. 5. Possess enthusiasm for providing a welcoming and professional environment for guests and residents, a passion for helping others, dedicated, with initiative, integrity and the motivation, to be part of a great team. 6. Have a desire to grow in the Property Management field 7. Available for weekend and holiday hours. 8. Ability to drive within a multi-site portfolio.
